RCM Finder is affiliated with DME Devices (dmedevices.com), our sister company. This policy covers rcmfinder.com only. dmedevices.com is a separate website and is not covered by this policy.
2. What this policy covers
This policy covers information we collect through the Website. Information handled inside the logged-in client portal is governed by the terms and agreements that apply to portal customers, not by this policy.
3. Do not send patient information through the Website
The Website is not a place to send patient or health information. Please do not include patient names, account numbers, diagnoses, claim details or other protected health information in any form, email, booking or message on the Website. Patient information should only ever be submitted inside the logged-in client portal.
4. Information we collect
What you give us. When you use a form, booking page or calculator on the Website, we collect what you enter. This can include:
- your name, work email address and phone number;
- your practice or company name, role and specialty;
- the service you are interested in and any message you write;
- figures you enter into our revenue and ROI calculators, such as claim volume, average claim charge and denial rate;
- the date and time of any consultation you book.
What we collect automatically. When you visit, we and our service providers receive:
- your IP address, browser type, device type and approximate location;
- the pages you view, how long you stay and the page that referred you;
- campaign details in the web address, such as UTM tags and the Google Ads click identifier (gclid), and the landing page you arrived on;
- information stored by cookies and similar technologies (see section 6).
5. How we use information
We use the information to:
- reply to your enquiry and prepare a revenue audit, estimate or consultation;
- schedule and run meetings you request;
- keep a record of enquiries in our contact-management system and follow up;
- send you updates about our services where the law allows, with an easy way to opt out, and communicate internally and with the vendors that work for us about prospects and enquiries;
- understand how the Website is used and improve it;
- measure and improve our advertising;
- protect the Website from spam, abuse and security threats;
- meet our legal obligations and enforce our terms.
6. Cookies and similar technologies
The Website uses cookies and similar technologies, some of them set by third parties:
- Google Tag Manager loads the measurement and advertising tags used on the Website.
- Google Analytics reports how visitors use the Website.
- Google Ads measures the results of our advertising.
- Other analytics and advertising measurement services from advertising and social media platforms may be used from time to time to measure the results of our campaigns.
- Google reCAPTCHA and Cloudflare Turnstile help block spam and automated form submissions.
- Performance and security tools (page caching and a web application firewall) help the Website load quickly and stay secure.
You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google's browser add-on. Blocking some cookies may affect how parts of the Website work.
7. Who we share information with
We share information only as needed to run the Website and our business:
- Service providers that host the Website, send email, store form and enquiry records, schedule meetings, provide analytics and advertising measurement, and protect the Website. This includes vendors, subcontractors and partner companies that perform work for us, such as another medical billing or revenue cycle company we engage when we cannot take on the work ourselves.
- Affiliated companies, including our sister company DME Devices, where needed to run our business or to follow up on your enquiry.
- Professional advisers, such as lawyers, accountants and insurers.
- Authorities, where the law requires it or to protect rights, safety and security.
- A buyer or successor, if we sell or reorganise the business.
We share prospect and contact information only with vendors that work with us and act for us, and only for the purpose we engaged them. This can include another medical billing or revenue cycle company that we engage to carry out work for you, or to follow up on your enquiry, when we cannot do it ourselves, for example because we have reached our own capacity. We require these vendors to keep the information confidential and not to use it for their own marketing.
8. How long we keep information
We keep information about prospects and enquiries for as long as RCM Finder operates, with no fixed deletion date, and we use it for internal communication and for communication with the vendors that work for us, as described in section 7. Records we are legally required to keep are kept as the law requires. You can ask us to delete your information at any time (see section 10).
9. Security
We use reasonable technical and organisational measures to protect information collected through the Website. No online service can guarantee absolute security, so please do not send us sensitive information through the Website (see section 3).
10. Your choices and rights
You can ask us to tell you what personal information we hold about you, to correct it, or to delete it, and you can opt out of marketing emails at any time using the link in the email or by writing to us. Write to hello@rcmfinder.com and we will respond within 45 days. Depending on where you live, you may have further rights under local privacy laws.
11. Children
The Website is for businesses and is not directed to children. We do not knowingly collect personal information from children under 16.
12. Where information is processed
The Website is operated from the United States. Information may be processed and accessed by our team and providers in the United States and other countries.
13. Links to other sites
The Website may link to other sites, including our client portal and our sister company's website, dmedevices.com. We are not responsible for the privacy practices of other sites, so please read their policies.
14. Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it last changed, and we will post the new version on this page.
